What is the difference between collections and folders?

Collections are the top-most level in the Documents module and contain one or more folders. Folders contain actual documents (.pdf, .docx, etc.). Another way to think of it is each collection is a drawer in a filing cabinet that holds folders full of documents. Remembering this when creating your collections and folders will help you organize your documents in a way that makes sense to you and others.

How can I download multiple files at a time?

Internet Explorer 10 & higher, Firefox and Google Chrome support selecting multiple files at a time, as well as dragging & dropping files to the file upload zone inside a document folder.

I set a document to share, but how does the person I want to share it with know where to find it?

The Share icon you clicked to allow a document to be shared will have changed to a slightly different icon called Manage Share. Click this icon and choose Generate Email. This will create an email with a link to the document. The link will only work for the length of time you designate.

Why can’t I share a folder or document for longer than 7 days?

Sharing is a short-term solution to allow someone who is not on the extranet to see or download a document. If you want the person to have long-term access to files, consider inviting them to the extranet and granting them access to the documents you want them to have.

What is the gold shield icon next to the names of people in a group?

The gold shield represents admin status in the group. This person has elevated privileges and can see all files and folders that group has access to.
